Gathering & Guest Services Coordinator
Summary of role: This person is responsible for ensuring that people are lovingly welcomed into our gathering environments as well as assisting with the daily needs of the gathering team.
Hours per-week: 30 hours per week
Core Responsibilities (Hours/Week)
Lead Frontline Ministries. This includes:
Leading teams of greeters, help desk volunteers, & parking attendants at weekend gatherings
Leading and developing the Frontline team to provide an atmosphere in which all guests are lovingly welcomed at weekend gatherings.
Assist Gathering Staff Team Leads and Directors as needed. This includes:
Respond to phone calls & emails (on behalf of Gathering Staff Team Leads), manage calendars & appointments, and other miscellaneous tasks that vary from week to week.
Coordinate weekly gathering details under the oversight of Gathering Team Lead. Specifically, Managing the Gathering Planning Documents, creating and distributing the weekend Gathering order sheets, etc.
Create & distribute weekly staff mtg agendas and record/distribute meeting minutes.
Monthly review of the budget for Gathering, Teaching, and Tech budgets.
Ensure follow up with weekend guests. This includes:
Building and implementing process and/or teams to provide timely follow up to those who are first-time visitors to our weekend gatherings. Working with the Growing Team and Family Ministry Team to identify all first-time visitors who have either a) registered their children into our database or b) turned in a tear-off card and indicated they were first time guests.
Hosting monthly Welcome Lunches for those who are new to Apex.
Lovingly assist guests during office hours. This includes:
Answering phones & connecting callers to the appropriate ministry area
Checking main voicemail messages
Responding to and/or forwarding emails sent to the generic email address
Receiving and welcoming people who walk-in
Maintaining a warm and welcoming waiting area & office area
Ensuring staff kitchenette is stocked with coffee, water, paper/plastics, etc.
Working alongside the Going & Growing Assistant to develop a team of volunteers who can cover these responsibilities when needed.
Personally assist guests who have reserved the Kettering facility. This includes:
Being on-site to assist during weddings, funerals, conferences, or other events as specified by supervisor.
Help create & maintain a welcoming environment for gathering spaces.
This includes decoration, texture, “look & feel”, etc.
Attending Gathering Team staff meetings & staff chapel:
• This also includes regularly participating in team building events.
Minimum Educational, Spiritual, and Ability Requirements
A member of Apex Community Church (i.e. confession of faith; actively involved in a House Church)
Consistent spiritual and moral character/lifestyle.
Agreement with the doctrinal statements of Apex Community Church.
Knowledge, skills, and/or aptitudes to perform each duty proficiently.
FLSA Status: Non-Exempt (i.e. hourly; entitled to overtime pay)
Employment Rating: Full-Time
